Creating an Email Address:

The very first step in using email is to simply create the email account. Email accounts are created within your cPanel. For more help, please see Creating an Email Account.

Basic Email Settings:

When checking your email with an email client, you'll need the following settings:

Username This email address is being protected from spambots. You need JavaScript enabled to view it. This will be your full email address, all lowercase
Password ******** This will be the password you set for your email account
SMTP Server mail.yourdomain.com Be sure to replace yourdomain.com with your actual domain name
POP / IMAP Server mail.yourdomain.com

Be sure to replace yourdomain.com with your actual domain name

For Secure SSL/TLS Settings, replace mail.yourdomain.com with your server hostname - e.g. secure##.webhostinghub.com. You can find these settings in cPanel Email Accounts and Connect Devices.

Checking your Email:

Once you've created your email account, you can then begin to send / receive emails. When you send / receive emails, you do so with an email client. You have many different options, and we've outlined the most common below:

Email Clients vs. Webmail:

We've listed above several different email clients. Some are programs on your computer (such as Outlook or Mac Mail), some are on your phone, and some are on your server (Webmail). Email clients in general are on your computer and run much faster than webmail, as webmail is web based. Webmail however is much easier to use initially because there is no need to configure any settings, you simply login. Keep in mind too that you can use both an email client and webmail.

POP vs IMAP:

When checking your email, there are two different protocols you can use, POP and IMAP.

When you use POP, emails are removed from the server and stored on your device (whether your computer or your phone). This allows you access your email very quickly after you've downloaded it, and allows you to store more emails with large attachments.

IMAP connects to the mail server and simply shows you what's there, it does not download any email. IMAP is slower than POP because every time you want to read an individual email you must connect the server to view it. On the upside however, as IMAP does not remove email from the server, it allows you to view all of your email from different devices. For example, you can use Outlook 2010 with IMAP at your office, view the same email with Mac Mail (using IMAP) at home, and use your iPhone (set to IMAP). All devices are going to show you the same exact emails.

Migrating Email From a Previous Host:

If you are are moving an existing site and/or email service from a previous host, you may need to migrate your emails to our servers.

If you used a POP3 connection to retrieve emails at your previous host, all of your emails would be downloaded to your local computer/device and moving emails from your previous host shouldn't be necessary.

If you used an IMAP connection to check emails with your previous host, please follow the steps in our Transferring Emails from your old Host article to move your emails over from your previous host.

While you are in the Horde, you will see your email address in the top right hand corner with a drop-down arrow. You can select a different webmail client there. You can also change the default page in your webmail by selecting the star to the right of the selection.

Once you've changed the default page to something other than one of the mail clients, you can click on the WEBMAIL logo in the top left and it will bring you back to the home webmail screen where you can select the different clients.

The time zone may indeed be changes but it does depend on the specific webmail client that you are using.

In Roundcube:
Click on Settings to the top right, then User Interface. You will see a time zone setting there.

In Horde:
Click on Options, then Locale and Time. The time zone is listed there.

In Squirrelmail:
Click on Options, then Personal Information. From this screen you can then change the time zone.

Hi, I am having a problem with Windows Live 2011 and IMAP on a laptop. I also have the email set up on a Samsung Tablet but it seems to be working fine.

When I send or reply to emails on the laptop they do show up on the tablet. However, there are emails on the tablet inbox that are not showing up on the laptop anywhere or in any folder. Why is that?

Plus the trash does not allow me to empty on either device. Must the trash be emptied only on the server?

One more thing, when I changed some settings on the laptop I did get in more folders from the server. But now I have a 'Sent' folder and a 'Sent Items' folder. The 'Sent Items' folder is empty but the 'Sent' folder shows my sent messages. Can I get rid of the 'Sent Items' folder as I find it confusing or would that mess up the folders on the server?

Thank you for your question. First, make sure you setup both email accounts as IMAP.

There is also a known issue recently with Outlook, where it does not display the Inbox. You can read more information on the issue here, and the article also provides a fix.

Hello Chris,

Generally, when there is a problem with the IMAP emails appearing in one place and not in the other, it is related to IMAP subscription settings. Deleting folders on the client will not delete the server settings.

Hello Mark,

Glad to hear the comment thing is working for you. I am not quite sure what you are asking as far as the emails coming through as a derivative to your site. Are you referring to regular emails being sent from visitors or are you expecting emails that come from site visitors filling out a form on your site? In either case, just using your normal email client will allow you to view emails sent to you, whether they are through a site page or from the sender's email program.

If I am not recognizing what you are asking, I do apologize, if it is different, please give me a few more details and I may be able to assist.

Emails to two of our accounts are being delayed. We have always experienced delays in the reception of emails to our webmail accounts (up to 5 hour delays), however, now a message is bouncing back saying that the email is being delayed. Can you please tell me how to resolve this issue? Do I need to set them up as IMAP? Currently we're using gmail as our integrated hosting platform.

Thanks for the question! There is no way to simply change the name on an email account. You would need to create a new email account with the new user name, then create an email forwarder based on the old name that goes to new account. If you're trying to preserve all of the emails on the old account, you would need to forward all of those emails to the new account and create the folders on the new account before creating the forwarder.

It is not clear that when using an email client like Outlook, does your REPLY to an email show the receipient that the reply email came from the name@mydomain.com address or from the name@outlook.com address?

You can setup a user level filter in cPanel for that email account. The filter would say something like this:

If TO: contains your@email.com discard message.

Try to keep attachments below 50MB. If you need to send/receive items larger then please use a file storage website such as dropbox, Google drive, etc.
